Duplicate payment

A duplicate payment is a payment made more than once for the same supplier invoice or obligation.

Why Duplicate payment matters to internal audit and controllers

Duplicates rarely look identical. The same invoice may be keyed twice with a missing hyphen or a dropped zero. The supplier may exist twice in the vendor master.

Most ERP duplicate checks catch only exact matches. Near matches slip through.

Recovery is slow and depends on the supplier. Repeated duplicates point to weak vendor master and invoice entry controls.

For a controller, the cheapest duplicate is the one stopped before the payment run. For internal audit, the pattern behind them matters most.

An example

A supplier emails an invoice and later mails a paper copy. AP enters the email copy as INV-0458 and the scan as INV458. Both pass the ERP check because the numbers differ. A test that compares vendor, amount and date flags the pair before the next payment run.

How IRAME handles it

In IRAME's AP control, IRA, IRAME's agentic AI, checks every invoice for near-match duplicates before payout, using SAP, Oracle or NetSuite data. Each suspected duplicate goes to an owner in Action Hub.
